How Far in Advance Should You Book a Grazing Table?

How Far in Advance Should You Book a Grazing Table?

One of the most common questions we hear is: "How far ahead do I need to book my grazing table?"

The short answer: as soon as you know your event date.

But the real answer depends on a few factors — your event date, the season, and how much customization you want. Here's what you need to know to secure your date without stress.

Peak Season vs. Off-Season

Grazing Table Demand Varies by Time of Year

Peak Season (April–October):

This is wedding season, outdoor events, and corporate gatherings. Weekend dates during these months book out 6–8 weeks in advance — sometimes longer for popular dates like summer Saturdays.

Holiday Season (November–December):

Thanksgiving week, office holiday parties, and New Year's events fill up fast. We recommend booking at least 4–6 weeks ahead.

Off-Season (January–March):

Winter months tend to be quieter, but we still recommend booking at least 3–4 weeks out to ensure availability and give us time to source the best seasonal ingredients.

Why Booking Early Matters

It's Not Just About Availability

When you book early, you get:

• First choice of dates — especially important for weekend events

• More time for customization — dietary needs, special add-ons, design preferences

• Better ingredient sourcing — we can secure premium seasonal items

• Peace of mind — one less thing to worry about as your event approaches

• Early Booking Discount — book within 48 hours of checking availability and save 20%

What If You Need a Last-Minute Table?

Sometimes Life Happens Fast

We do occasionally have availability for last-minute requests (typically 1–2 weeks out), but options may be limited based on:

• Our current event schedule

• Ingredient availability

• Setup logistics at your venue

If you're in a bind, reach out anyway — we'll do our best to accommodate you.

The Ideal Booking Timeline

Here's Our Recommendation

• Large events (75+ guests): Book 8–12 weeks ahead

• Mid-size events (30–75 guests): Book 4–8 weeks ahead

• Smaller gatherings (under 30 guests): Book 3–4 weeks ahead

The earlier you book, the more flexibility you'll have — and the better we can tailor your table to your vision.
